To monitor work results and strengthen quality control and productivity, CloseOut offers a suite of detailed and intuitive reports. These reports provide visual overviews of documentation activity, user efficiency, and site progress—filtered by role, timeframe, job type, or material scope.
This guide outlines each report type, its purpose, and how it can be used in project operations and training environments. Reporting modules are usually available to higher users like Admins and Quality Managers.
Reports allow you to:
- Track documentation activity by different user types
- Measure review responsiveness and document status distribution
- Monitor field engagement at the site or project level
- Compare planned vs. used materials for supply and cost control
- Identify trends in upload timing, error frequency, or reviewer delays
Each report includes filtering options for time range, user type, project or site, job category (in Project/site activity Reporting), or material usage (in Material list Reporting) —providing Admins and project coordinators with full visibility.
To access reports:
- Navigate to the Reports section
- Choose a report type
- Apply filters such as:
- Project or site
- Timeframe
- User, group, or role
- Job type (for activity reports)
- Material (for inventory reports)

Report Types
Documentation Reports by Role
(Projects, Field Technicians, Quality Specialists)
These three reports are functionally identical, differing only by the user perspective they highlight. Each shows document activity (Uploaded, Pending, Accepted, Rejected, Not needed) and includes filters for:
- Timeframe
- User type (Field Technician, Quality Specialist)
- Project or location
You can toggle between bar chart and multiline graph (both available in percentage view as well) to compare team output, track validation rates, or identify inconsistencies. These are excellent for assessing productivity, approval flow, and documentation accuracy across roles.

4. Project/Site Activity Report
Provides a high-level snapshot of activity volume based on location and job category:
- Filter by project, site, job type, and time range
- Shows the number of workflow interactions (e.g. uploads, updates)
This is especially useful for identifying active vs. inactive regions, gauging rollout intensity, or spotting operational slowdowns.
Note:
As sites and projects can have different dynamics, one can limit the size of the bar graphs displayed through the option “Edit chart view” that allows setting the maximum number of days visible on the chart.

5. Materials List Report
Designed for logistics and procurement analysis, this report compares:
- Planned vs. used quantities
- Material type, site, or project
- Date range
You can highlight shortages, overuse, or delivery mismatches with optional customization per reporting need. It is a reporting extension of the Material Management module.
